Working with Lyric
Projects
A project is a workspace for long-running work, such as a migration, an audit or a new service, that Lyric carries out alongside you and, on Lyric Teams and Lyric Enterprise, the people and teams working on it. It holds the work's tasks, files, conversations and sources in one place, with the settings Lyric works within.
What a project is
A project is sustained work, over weeks or months, with its own environment: the systems, repositories, data and documents the work involves. Lyric works inside that environment for the life of the project. It plans the work, creates and performs tasks toward it, draws on the project's sources, and shows what has happened and what comes next.
Work that can be done in one or two tasks is a task, not a project. See Tasks.
Projects on each plan
| Plan | Projects |
|---|---|
| Lyric Free | Not included |
| Lyric Pro and Lyric Max | Your own projects. Each is yours alone, with no members and no access settings |
| Lyric Teams | Shared with the people on your team's seats, visible to the project's members or to the entire team |
| Lyric Enterprise | Shared with people and teams across the organization, each with a role, visible to the project's members or to the whole organization |
Creating a project
- On the Projects page, select New project.
- Project details: the project's name, a description, an optional summary of up to two paragraphs, its type, an icon and optional tags.
- Dates and priority: the start date, no due date or a due date, and the priority: High, Medium or Low.
- People on Lyric Teams, or People and teams on Lyric Enterprise: who works on the project. You own the project as its admin. On Lyric Enterprise, choose the role of the people and teams you add.
- Sources: the links, files and connectors Lyric draws on in the project.
- Access, on Lyric Teams and Lyric Enterprise: who can see the project and what its members can do.
- Lyric's autonomy: the operating mode, Lyric's data sources and the action boundaries for the project.
- Select Create project.
A project's type is Infrastructure, Security, Compliance, Process, Operations, Research or Development. The new project opens with the status Planning while Lyric plans its work.
The Projects page
The Projects page lists every project you can see, with its description, tags, people, progress, status and when it last changed.
| Filter | Projects shown |
|---|---|
| All | Every project that is not archived |
| Active | Projects on track, at risk or in progress |
| Planning | Projects whose work Lyric is planning |
| On hold | Projects on hold |
| Completed | Finished projects |
| Archived | Archived projects, which appear only here |
Search by name, description, tag or type, and filter by tag; on Lyric Teams and Lyric Enterprise, also by context and owner. Sort by relevance (the projects you are in first, then the most recently updated), recently updated, name, due date or progress, and show the projects as a list or a grid.
How a project stands
| Status | Meaning |
|---|---|
| On track | The project is progressing as planned |
| At risk | The project is at risk of missing its due date |
| In progress | Work on the project is under way |
| Planning | Lyric is planning the project's work. New projects start here |
| On hold | Work on the project is on hold |
| Completed | The project is finished |
Progress is the share of the planned steps in the project's tasks that are done. Changing a project's status or priority asks you to confirm, because Lyric plans the project's work around both and a change may alter what it works on next.
A project's page
| Tab | What it shows |
|---|---|
| Overview | Progress, due date and owner; the summary; key details (context, type, start and due dates, stakeholders); recent activity; and the next steps in the project's tasks |
| People | Who is in the project and their roles. Lyric Teams and Lyric Enterprise |
| Tasks | The project's tasks, by where they stand, as on the Tasks page |
| Files | The files members uploaded and the files Lyric wrote in the project |
| Conversations | The conversations among the project's members and Lyric |
| Settings | Access, sources, permissions, Lyric's autonomy and action boundaries |
Beside the tabs are the project's status, priority and owner, the goals, tasks and commitments related to it, its tags and its actions. Recent activity shows conversations started, files added, steps and tasks Lyric completed, and people joining the project. Edit the summary and the key details (the project's name, type, start date and due date) on the Overview.
Tasks in a project
A project's tasks are those Lyric creates toward it and those people create for it. Create a task from the project with New task, or from the Tasks page by choosing the project in the optional Project field of New task. Each task is handled at its own handling choice, like any other task. On the Tasks page, filter by project to see a project's tasks among your others.
People and roles
On Lyric Teams and Lyric Enterprise, a project's people each have a role.
| Role | What they can do |
|---|---|
| Admin | Everything a member can do, and manage the project's access controls, sources and people, archive and restore the project, and delete it |
| Member | Use conversations, view tasks and files, and upload files, as the project's permissions allow |
The person who creates a project owns it and is its admin. On Lyric Teams, people are added as members, and an admin can change anyone's role. On Lyric Enterprise, you add people and teams and choose their role as you add them, and everyone who joins a team in the project has access to it automatically. Admins change a person's role or remove them from the project on the People tab. A project always keeps at least one admin, and can have up to 200 people and teams.
Files
Add files with Upload files. Each file can be up to 100 MB, and counts toward the project storage of the person who uploaded it, including in projects shared with others. Download a file from its options. The person who uploaded a file and the project's admins can delete it, which frees that project storage. Files Lyric writes in the project are listed with the others and open to be read in place. See Storage.
Conversations
A project's conversations are held among its members and Lyric, which takes part with what it knows of the project. Start one with New conversation, or in Chat by selecting Choose project under the message bar before the first message. The Conversations tab lists each conversation with who started it, how many messages it has and when it started.
Project settings
A project's admins change its settings, and its members can see them. Where a project setting and your account's setting differ, the stricter one applies: a project can be stricter than your account, never looser. In an organization, its settings are the limit.
| Setting | What it sets |
|---|---|
| Visibility | Who can see the project: Project members, the people and teams added to it; or Entire team on Lyric Teams and All of your organization on Lyric Enterprise. Lyric Teams and Lyric Enterprise |
| Sources | The links, files and connectors Lyric draws on in the project. Admins add them with + and remove them from a source's options; connectors are chosen from those already connected |
| Permissions | Who may create tasks, add people, upload files, start conversations, and edit the summary and details: Admins or All members. Lyric Teams and Lyric Enterprise |
| Lyric's data sources | Configured sources only, where Lyric uses only the sources configured for the project; or Configured and new sources, where Lyric also uses new sources people bring into the project, such as a link in a conversation or a connector someone uses |
| Operating mode | The autonomy level Lyric works at in the project: Observe, Assist or Delegate. It starts at your own and cannot be higher |
| Action boundaries | For each area of work, whether Lyric's actions are Allowed, need approval first (Ask first) or are never taken (Never), no looser than your account's |
A new project starts with your account's operating mode and action boundaries and Configured sources only. On Lyric Teams and Lyric Enterprise, it is visible to its members, all members may create tasks, upload files and start conversations, and only admins may add people or edit the summary and details.
Managing a project
| Action | What it does |
|---|---|
| New task | Creates a task in the project |
| Add people | Adds people, or on Lyric Enterprise people and teams. Lyric Teams and Lyric Enterprise |
| Upload files | Adds files to the project |
| New conversation | Starts a conversation in the project |
| Copy link | Copies the project's address |
| Archive project and Restore project | Moves the project to Archived, where it can be read but not changed, and back. Admins |
| Delete project | Deletes the project, its files and its conversations for everyone in it. This cannot be undone. Admins |
The actions you see depend on your role and the project's permissions.
Projects and usage
A project itself consumes nothing, and viewing one does not consume action minutes, nor does conversation in it. Each task in a project consumes action minutes at the rate of its handling choice while Lyric works on it. Files uploaded to a project count toward the uploader's project storage. See Action minutes and Storage.
